Detailed description

To simplify the (recurring) application process for your organization, you can request a company file.


In the company file, you store all important data and authorizations that clearly identify your organization.


You can then submit digital applications in connection with funding procedures of the Free and Hanseatic City of Hamburg

 

Information

Prerequisites

  • You have a Business service account.
  • In the Business service account, a “user” is created in the administration for each authorized representative.
  • The “Create company file” service is set up in the Business service account, and each applicant is authorized to use the service.

Documents required

For your organization you need:

  • Evidence document (commercial register extract or other register extract, partnership agreement, etc.)

For the person who will be representing the organization in entering the applications, you will need:

  • Authorisation to represent written on the letterhead of the applying organisation and signed by the management/authorised representative, which shows that the person in question is authorised to represent the organisation in the application

If several people are to be authorized, the powers of representation must be prepared individually for each person so that they can be uploaded later.

Deadlines

There are no deadlines for applying for the company file itself.


However, you may need to observe the funding agency's deadlines for submitting funding applications.

Procedure

  • The company file is not a separate application process. You need it to apply for administrative services provided by the Free and Hanseatic City of Hamburg.
  • You check whether you need a company file for the intended application.
  • You register your organization with the Service Portal Hamburg (select “as a company”) and log in with your user data.
  • You can use an Elster certificate for registration.
  • You list the authorized representatives for your organization.
  • In the Business service account, you create a “user” in the administration for each authorized representative.
  • The authorized representatives will receive an email with a password.
  • The authorized representatives activate their respective accounts with the password.
  • You register your organization using the online service “Create company file.”
  • You provide evidence of the legal capacity of your organization with a corresponding document.
  • You name the authorized representatives, including their email address and telephone number, and upload appropriate proof for each person.
  • Once all required documentation is available, the company file will be activated. Authorized representatives will automatically receive an email with their authorization number. They will need this for identification purposes during subsequent application processes.

Processing the company file takes a maximum of 10 working days.
